POSITION DUTIES AND QUALIFICATIONS
SUMMARY OF DUTIES: Positions assigned to this classification are primarily responsible for oversight of the operations of the records department in support of law enforcement and the community and ensures department policies comply with state and federal regulations.
DUTIES AND RESPONSIBILITIES:* Position Specific Summary The Police Records Assistant Superintendent position at the City of Tucson Police Department performs supervisory and management level work for the Records Section with direct oversight of half of the supervisors, responsible for compliance with regulations, and manages projects. This position is responsible for support of law enforcement and the community and ensures department policies comply with state and federal regulations. This position analyzes data and provides necessary statistical research and reports to department leadership. Responsible for overall section and departmental training requirements. Work is performed under the supervision of the Police Records Superintendent. This position exercises supervision over police records personnel.
Duties and Responsibilities Project Management (30%) - Essential Creates realistic timelines and ensures compliance for project management. Develops project goals and objectives, evaluates project success and regulatory compliance and makes presentations. Evaluates, tests and supports new functionality, developments and enhancements of the Citys critical systems-related programs. Develops, plans, implements and monitors projects by reviewing data and timelines, assigning appropriate personnel, planning, organizing and monitoring program activities, ensuring compliance with guidelines, timelines, regulations and performance, conducting project analysis and evaluation, comparing data, locating deficiencies and planning corrective action. Maintains knowledge of court proceedings that dictate release of information guidelines. Personnel Support (25%) - Essential Assists in resolving personnel conflicts. Coordinates with Supervisors to ensure workloads are managed effectively. Assists with hiring, disciplining, evaluating employee performance, investigating, resolving grievances and leading section activities Supervises operations of the Record Section by planning, monitoring performance, scheduling and coordinating training, facilitating meetings, conducting interviews, informing personnel of changes to policies and procedures, completing performance evaluations, providing support, resolving issues and providing information. Assists with Records Management issues by answering questions from department personnel regarding storage and retrieval of records, destruction of records and retention of record series. Quality Assurance & Compliance (25%) - Essential Ensures that unit work conforms to local, state and federal governmental regulations, and other applicable rules and requirements. Interprets Arizona State Law, Civil Service Rules, Employment Laws, Memorandums of Understanding and a multitude of other guidelines to direct the team. Tests and validates new processes and programs to ensure effectiveness for the team. Administrative Tasks (15%) - Essential Updates policies and procedures, analyzes workloads for staff and reallocates accordingly. Collaborates with intra- and inter- departmental personnel to implement policy or process changes. Submits requests for equipment and staffing needs, assists in tracking budget vs. expenditures. Other Duties as Assigned (5%) - Non-Essential Maintains technical or professional knowledge through such means as attending seminars, reviewing professional publications, taking classes and participating in developmental activities.
Working Conditions Shift work (24/7 essential operation)

MINIMUM REQUIRED QUALIFICATIONS: Education: Bachelor's degree
Work Experience: Five (5) years of directly related experience Any combination of relevant education and experience may be substituted on a year-for-year basis. ADDITIONAL MINIMUM REQUIRED QUALIFICATIONS:
