Company Name: Vibrant Graphics Position title: Bookkeeper Location: Milwaukee, WI Vibrant Graphics , a small, family-owned, full-service, customized label and package printing company, and
Plexas , a third-party cost containment company assisting medical bill review companies, and property & casualty insurers, is looking to add a Bookkeeper to their team. This full-time, onsite position will split half its time performing bookkeeping responsibilities between both organizations. (These two companies share the same facility and ownership).
Summary Oversees the company’s financial data and compliance by maintaining accurate records on accounts payable and receivable, payroll, and daily financial entries and reconciliations. Performs all bookkeeping through financial statement preparation.

Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions of this position. - Maintains records according to generally accepted accounting principles including the recording of journal entries, asset depreciation schedules, accounts payable, accounts receivable, cash management..
- Check accounting records for accuracy, track invoices and payments, and maintain a system for organizing company documents.
- Accounts Payable
- Monitor purchase orders and invoices
- Code invoices with the proper general ledger information and processes payments in a timely manner
- Review credit card statements
- Accounts Receivable
- Prepare and send invoices to customers and ensure they are entered into the proper accounts in the accounting system
- Contact customers to make payment arrangements to collect any overdue invoices.
- Banking
- Prepare bank deposits of payments received from customers and other sources
- Enter payments into the accounts receivable system
- General Ledger
- Entering information into and reconciling basic general ledger accounts
- Preparing detailed journal entries and month-end reconciliation
- Maintaining inventory and overhead accounts
- Preparing depreciation calculations
- Running general ledger trial balance at the end of the month prior to closing the books to ensure accounts are balanced
- Run reports for management to keep them apprised of cash flow, budgeting and other vital financial matters
- Provide requested documentation for auditors
- Performs administrative tasks such as maintaining paper and electronic files, opening and sorting mail, filing and archiving records, composing and preparing correspondence, and contacting and maintaining relationships with customers and vendors through phone, fax, email and letters
- Complies with federal, state, and local legal requirements by studying requirements, ensuring adherence to requirements, filing reports, and advising management on needed actions.
- Comply with safety procedures and maintain clean and orderly work areas

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. - Requires an Associate's degree in accounting or business administration, or equivalent business experience, as well as a knowledge of bookkeeping and generally accepted accounting principles
- Proven ability to calculate, post and manage accounting figures and financial records
- Familiarity with MS Office (Outlook, Word, Excel). Hands-on experience with spreadsheets and proprietary software(Label Traxx).
- High degree of accuracy and attention to detail
- Strong written and verbal communication skills, including the ability to respond to others professionally and in a timely manner.
- Must be able to work independently but have the ability to develop and maintain constructive and cooperative working relationships.
- Requires strong attention to detail, accuracy, and analytical and problem-solving skills
- Requires strong organizational skills and the ability to multi-task, prioritize, and work with frequent interruptions. Must have the ability to professionally respond to variations in schedules and plans.
