JOB SUMMARY: The coordinator position will be responsible for managing the building permit process and permanent house file records.
Essential Duties And Responsibilities - Create Permit Packages: Order & collaborate with Drafting team, Engineering and HVAC company to obtain all plans, drawings, and documents necessary for permit submission. Relay any upcoming code changes, municipality requirements and .dwg files to necessary departments. Liaison between City Plan Review and Forward Planning team for any issues related to final plats/lot fits/addressing issues.
- Permit Procurement: Prepare & maintain all application templates to obtain regulatory permits. Assemble the permit application package for applicable counties/cities/municipal entities, including plot plans, utility/erosion permits, building configurations and engineering calculations. Submit permit application packages to municipalities and monitor requested corrections, receipt of approvals and permit issuance.
- Starts Package Preparation: Prepare and maintain Starts Packages for onsite Superintendent, including all 10 checklists, house plans, option selections and schematics. Upload copies to external files for contractor accessibility.
- Maintain Starts Calendar: Monitor the flow of each buyer through permitting, loan approval and house start processes. Ensure Division goals are met for Starts and Closings based on the Business Plan. Send out weekly notifications of starts to the division.
- House File Audit and Archival: Combine and audit for completeness all permit related paperwork that is required per the divisions audit guidelines.
- Invoicing & Payments: Maintain and process invoices received for architecture, engineering, blueprints etc. Process permit ACH payment requests through finance team and ensure timely payments are made to municipalities.
Education/Experience/Minimum Requirements Education: - College degree preferred. High school diploma or GED required.
Experience - Regulatory compliance knowledge, skills and abilities required.
- Residential construction regulatory experience very beneficial.
Knowledge, Skills & Abilities - Excellent oral and written communication skills.
- Ability to connect with people, and develop and maintain professional relationships.
- Strong organizational skills, with demonstrated ability to simultaneously manage multiple processes. Action-oriented.
- Strong technical and analytical skills
- Must be proficient in Microsoft applications, including Word, Excel, PowerPoint and Outlook.
- Proven ability of being customer centric by seeking solutions from the customer’s perspective
- Strong ability to work within a team-setting, inclusive of other’s ideas, and a willingness to cooperate
- Makes quick and accurate decisions based heavily on facts, data and/or metrics
Work Requirements - Work 8-hour days with flexibility for additional work hours when necessary
- Conduct business in a professional and ethical manner with city and county governments and agencies, municipal districts, trade partners, and coworkers to reinforce goodwill and profitability for the Division.
