Job Description
We are looking for a detail-oriented and proactive Project Coordinator to join our team, supporting key projects in a dynamic environment. This hybrid position offers the opportunity to make a meaningful impact by leading administrative and project coordination efforts, with a focus on MassHealth's MMIS (Medicaid Management Information System).
Key Responsibilities
Administrative Leadership
Oversee complex administrative tasks with agility, strong decision-making, and sound judgment.
Lead efforts requiring organization, problem-solving, and a proactive approach to managing tasks.
Project Coordination
Manage special projects by setting clear objectives, prioritizing tasks, aligning with MMIS standards, and ensuring progress remains on track.
Support cross-functional teams to achieve project goals.
Helpdesk and Ticket Management
Oversee the MMIS CA Uni-Center ticket queue for access requests.
Collaborate with teams across MMIS to coordinate responses and maintain updated procedures.
Work closely with the Access & Controls and Helpdesk leads and the UMASS Security team to resolve any issues.
Cross-Team Collaboration
Build and maintain strong working relationships with the MassHealth Assistant Chief Information Officer's office and senior executive management.
Coordinate support to ensure smooth communication between departments.
Financial Management
Partner with the MMIS PMO Lead to manage monthly invoices and maintain budget oversight.
Ensure accuracy in financial tracking and reporting.
Project Intake Support
Collaborate with the MMIS Development team to support project intake efforts, ensuring that all submissions are properly tracked and followed through.
Staff and Asset Management
Lead the onboarding and offboarding of staff, while ensuring procedures for coordination across MMIS teams are well-established.
Manage software licenses and inventory tracking, maintaining a strong working relationship with the EOHHS Asset Management team.
Meeting and Communication Management
Manage meeting requests for the MMIS Director, including preparing agendas, distributing minutes, and managing follow-up actions.
Send reminders for action items, participate in meetings, take notes, and handle related correspondence.
Research and Data Management
Conduct research, prepare documents and reports, and translate data into clear charts, graphs, and other visuals.
Use tools like MS Excel to create pivot tables, workbooks, and visual summaries.
Operational Support
Draft system outage notices and help develop operational procedures and instructional guides.
Skills & Qualifications
Bachelor's degree or higher.
5+ years of experience in a similar role.
Strong interpersonal, organizational, and problem-solving skills.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Access, Visio).
Ability to multitask, prioritize, and handle confidential information with discretion.
Self-driven and able to work independently.
Prior experience in an IT environment is a plus.
