Job Description
We're seeking a dynamic Project Coordinator to join our team and play a pivotal role in managing and supporting various administrative and project tasks. Key Responsibilities:
Administrative Leadership: Take charge of complex administrative tasks, utilizing your skills in agility, reasoning, and decision-making.
Project Coordination: Lead special projects by setting clear objectives, aligning with MMIS standards, and ensuring progress is effectively managed.
MMIS Helpdesk Management: Oversee the MMIS CA Uni-Center ticket queue, handle access requests, coordinate with MMIS teams, and keep procedures up-to-date.
Cross-Team Coordination: Build and maintain strong relationships with the MassHealth ACIO office and senior executive management to ensure seamless support.
Financial Management: Collaborate with the MMIS PMO Lead to handle monthly invoices and maintain the MMIS Budget system.
Project Intake Support: Assist with MMIS Project Intake, ensuring all submissions are accurately tracked.
Staff Management: Oversee the onboarding and offboarding processes, and establish procedures for ongoing coordination within the MMIS team.
Asset Management: Develop systems for tracking software licenses and inventory, and report on these activities.
Meeting Management: Manage MMIS Director meeting requests, including preparing agendas, distributing minutes, handling correspondence, and follow-up activities.
Communication: Send reminders for overdue action items, announcements, and status updates. Participate in meetings, record minutes, and manage meeting materials.
Research and Analysis: Conduct research, run queries, prepare reports, and summarize information using charts and graphs.
Operational Support: Draft system outage notices and support the creation of operational procedures, guides, and memos.
Data Management: Develop MS Excel charts, graphs, pivot tables, and workbooks.
Knowledge, Skills, & Abilities:
Ability to work independently with minimal supervision.
Excellent interpersonal, organizational, and communication skills.
Discretion in handling confidential information.
Strong multitasking and prioritization abilities.
Effective analytical, problem-solving, and follow-through skills.
Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Access, Visio).
Willingness to learn new software.
Prior experience in an IT environment is a plus.
Qualifications:
Bachelor's degree or higher.
5 years of hands-on experience.
