Job Description
We're seeking a dynamic Project Coordinator to join our team for a hybrid role based in Quincy, MA. In this position, you'll be responsible for leading and managing various administrative and project coordination tasks, all while fostering collaboration across multiple teams. Your expertise will help streamline operations and support key initiatives effectively.
Key Responsibilities:
Administrative Leadership: Take charge of complex administrative tasks requiring a high level of skill, agility, and sound judgment.
Project Coordination: Oversee special projects by defining objectives, setting priorities, aligning with standards, and tracking progress.
Helpdesk Management: Manage the ticket queue for access requests, coordinate with MMIS teams, and keep procedures updated.
Cross-Team Coordination: Build and maintain strong relationships with the MassHealth Assistant Chief Information Officer's office and senior executive management to ensure seamless support.
Financial Management: Work with the PMO Lead to handle monthly invoices and maintain the budget system.
Project Intake Support: Support MMIS Project Intake by tracking submissions and collaborating with the Development team.
Staff Management: Oversee staff onboarding and offboarding, and create procedures for ongoing team coordination.
Asset Management: Implement systems for tracking software licenses and inventory, and maintain good relations with the Asset Management team.
Meeting Management: Manage meeting requests for the MMIS Director, including agenda preparation, minute distribution, and follow-up activities.
Communication: Send reminders for overdue actions, announcements, and status updates. Participate in meetings, take minutes, and manage related materials.
Research and Analysis: Conduct research, prepare documents and reports, and present information in charts and graphs.
Operational Support: Draft notices for system outages, support the creation of operational procedures, and develop instructional guides.
Data Management: Create and manage charts, graphs, pivot tables, and workbooks in MS Excel.
Knowledge, Skills, & Abilities:
Ability to work independently with minimal supervision.
Excellent interpersonal, organizational, and communication skills.
Discretion in handling confidential information.
Ability to multitask and prioritize effectively.
Strong analytical and problem-solving skills.
Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Access, Visio).
Quick learner with a willingness to adapt to new software.
Prior experience in an IT environment is a plus.
Qualifications:
Bachelor's degree or higher.
5 years of hands-on experience in a similar role.
