Job Description:

  • Translates concepts and directions and, in turn, develops tactical solutions to drive executable project plans.
  • Serves as operational lead across all stage projects with a focus on the Labâ™s quantum games efforts, also known as the Quantum Casino or Quantum Arcade, from pre-production through the delivery and presentation of completed games.
  • Works in close collaboration with STAGE leadership and the STAGE team to ensure projects run smoothly and stay on schedule, on budget, and within scope.
  • Leverages planning tools to generate, communicate, and track complex timelines, milestones, and metrics for project execution and the achievement of STAGEâ™s strategic goals.
  • Develops and maintains tracking systems for documenting STAGEâ™s work, projects, and initiatives, including maintaining and updating STAGEâ™s annual report of activities.
  • Manages preparation and execution of local, national, and international events and workshops, and coordinates with students, faculty, professionals, and volunteers; assists as needed with promotional activities.
  • Engages STAGE project team members in data collection, documentation, reporting, and procurement of materials, and ensures these and all necessary project development and evaluation resources are anticipated and available for programs and projects.
  • Leads student recruitment, including writing, posting, and disseminating ads for student positions; may also conduct initial student interviews and assist with onboarding and offboarding. Collaborates closely with the Universityâ™s Career Advancement office, including tracking funding cycles and supporting the student application process.
  • Tracks and provides reports on STAGE activities and deliverables in alignment with internal and external funding agency requirements.
  • Where appropriate, maintains contact and coordinates with education or workforce program stakeholders at other Q-NEXT institutions, as well as across Department of Energy National Quantum Information Science Research Centers (NQISRCs).
  • Coordinates and creates schedules and timelines for Q-NEXT public engagement projects as encouraged by the DOE program manager.
  • Works somewhat independently to develop detailed work plans, schedules, project estimates, resource plans, and status reports. Assembles and leads a project team, assigns individual responsibilities, identifies appropriate resources needed, and develops schedules to ensure timely completion of projects.
  • Is responsible for tracking progress, conducting analysis, as well as preparing for and facilitating project meetings.
  • Acts as a resource for a project team and provides analytical guidance. Interprets complex project issues and provides analytical guidance to a project team.
  • Performs other related work as needed.

Preferred Qualifications

Education:  

  • Bachelor's degree.

Experience:

  • Event planning and/or project management.
  • Working within an academic, scientific, performing arts, or complex administrative environment.
  • Coordinating diverse workforces, including, but not limited to, students or other temporary employees.

Technical Skills or Knowledge:

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with planning software and tools.
  • Familiarity with technical skills such as basic video/illustration experience and technical software such as Adobe Suites is a plus.
  • Familiarity with report writing/submission and manuscript drafting, editing, and review.
